Privacy policy

PulseKit is provided by Propane Fitness Ltd (company number 07779096), whose registered office is 1 Holly House, Mill Street, Uppermill, Oldham, England, OL3 6LZ. This policy explains how we handle personal data when coaches and their clients use PulseKit.

Coaches decide what coaching data they ask their clients to provide and why they use it. For that data, the coach is generally the controller and Propane Fitness processes the data to provide PulseKit. We are the controller for coach account administration, service security, product analytics, and communications that we send directly.

Information we collect

  • Coach account, contact, business, branding, and service settings.
  • Client identity and contact details entered by a coach or supplied through an authorised integration.
  • Programmes, workouts, sets, repetitions, loads, effort ratings, notes, habits, goals, and check-ins.
  • Nutrition logs, progress measurements, sleep, stress, recovery, and other coaching metrics selected by the coach.
  • Images or videos submitted for coaching purposes, including food or progress images where those features are used.
  • Device, browser, usage, diagnostic, and security information, including feature activity and error data.
  • Messages, support requests, notification preferences, and records needed to deliver the service.

Health and other sensitive information

Some coaching information may reveal health information and may be special-category data under UK data protection law. Coaches must have an appropriate legal basis and Article 9 condition before asking a client to provide this information. This may include explicit consent, depending on the coaching service and the coach's circumstances. Clients should speak to their coach about why a particular item is requested and whether it is optional.

How we use information

  • Provide, operate, secure, and support PulseKit.
  • Display coaching programmes and record client activity.
  • Connect PulseKit with Pulse and other services authorised by the coach.
  • Send service notifications and help coaches respond to client activity.
  • Diagnose faults, prevent misuse, and maintain service reliability.
  • Understand feature adoption and improve the product using aggregated and account-level analytics.
  • Meet legal, regulatory, accounting, and dispute-resolution obligations.

Our lawful bases

We process coach account and service data where it is necessary to perform our contract, where we have a legitimate interest in operating and improving a secure service, where consent applies, and where we must comply with a legal obligation. When we process client coaching data for a coach, we do so under our contract with that coach and on their documented instructions. The coach remains responsible for choosing the appropriate lawful basis and, for special-category data, an appropriate Article 9 condition.

Who receives information

We use vetted service providers to host and operate PulseKit, deliver communications, provide product analytics, monitor errors, and support optional AI-assisted features. These currently include Cloudflare, LeadConnector/HighLevel (branded as Pulse), PostHog, and the AI or data providers identified within an optional feature. A coach may also connect or link third-party services such as Loom. Those third parties process information under their own terms when a coach chooses to use them.

We do not sell personal data.

International transfers

Some providers may process information outside the United Kingdom. Where required, we use an adequacy decision, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard. Coaches can contact us for more information about the safeguards relevant to their account.

How long we keep information

We keep account and coaching data while the relevant PulseKit service is active and for a limited period afterwards so that we can provide support, handle disputes, meet legal obligations, and maintain secure backups. Operational logs and product analytics are kept only for as long as they remain useful for security and service improvement. A coach may request deletion or export of client data, subject to any legal retention requirement. Temporary uploads used for an analysis feature are removed after the feature has processed them unless the interface says that the coach or client chose to save them.

Security

We use access controls, encryption in transit, least-privilege service credentials, monitoring, and managed cloud infrastructure to protect personal data. No online system can guarantee absolute security. Coaches must keep their Pulse account secure and share client links only with their intended recipients.

Your rights

Depending on the circumstances, individuals may have rights to access, correct, erase, restrict, object to processing, or receive a portable copy of their personal data. Where processing relies on consent, consent can be withdrawn at any time without affecting earlier processing.

Clients should usually contact their coach first because the coach controls their coaching record. They may also contact us and we will help the coach respond. Anyone may complain to the UK Information Commissioner's Office at ico.org.uk.

Cookies and product analytics

PulseKit uses storage that is necessary for sign-in, security, and core service operation. We also use PostHog to understand product activity and diagnose errors. Where the law requires consent for a non-essential cookie or similar technology, we will request it before use. Browser controls can also be used to remove stored data, although doing so may sign the user out.

Children

PulseKit is supplied to professional coaches and is not directed to children. A coach who provides services to a child must have the authority and safeguards required by law before adding that child's information to PulseKit.

Changes to this policy

We may update this policy when PulseKit or the law changes. We will publish the revised date here and provide additional notice where a change materially affects how personal data is used.
